It started with a broken thermostat and a bathroom fan that sounded like a coffee grinder.

Last November, our facilities manager sent me a one-line email: four wall heaters in the common areas were either dead or running all night. The bathroom heaters were worse. One kept cycling on every few minutes. The other warmed the room to sauna level and then shut off for half an hour. And the exhaust fan—the real ventilation fan—was so loud that people were simply not using it.

I'm the procurement manager for an 180-person engineering support company. For the past six years, I've managed a facilities budget of roughly $120,000 a year, and I have a habit of tracking every order in a spreadsheet. So this project looked simple: replace the heaters, install a proper exhaust fan, and stay under $3,800. It did not stay that way.

The first quote looked okay. It wasn't.

Our local electrical supplier gave me a complete quote in January 2025: four Dimplex wall heaters, two Dimplex bathroom fan heaters, one 110 CFM exhaust fan, all mounting hardware, and a line item for existing thermostat compatibility. Total: $4,180, with delivery included. The sales rep even called to walk me through why they chose low-wattage panel heaters instead of one big unit: in an older building, spreading the load across circuits beats running a single high-power heater that trips the breaker.

The online distributor's quote was $3,420. Same number of units. The brands weren't names I recognized, but the pictures looked close enough. Then I read the fine print. Delivery was $220. Mounting brackets were $90 per heater. Thermostats were not included. The warranty required installation by their approved contractor, at $130 per hour. And the exhaust fan was a 90 CFM model from an entirely different brand than the one I'd spec'd.

I added it all up. The online quote came to $4,150 before tax—within $30 of the local supplier, and with less support and a longer lead time.

I've learned to ask what's NOT included before what's the price. I broke my own rule on the first pass, and the second quote is exactly why the rule exists.

The Dimplex wall heaters made the decision easier

I'm not an HVAC engineer, so I can't speak to the fine points of airflow dynamics. What I can say from a procurement perspective is that the Dimplex wall heater units had three things the other quote didn't:

First, programmable thermostats built in. That meant we didn't need to buy and wire separate controllers for four rooms. Second, low-wattage settings—500W and 1000W—so the heaters could run in a reduced mode during the day and swing up when the building was occupied. Third, one vendor covered wall heaters, bathroom fan heaters, and the exhaust fan, which made warranty simple. If something failed, we had a single phone number to call.

Our consultant also reminded me that a bathroom exhaust fan has to meet a minimum ventilation rate—ASHRAE 62.2 calls for at least 50 CFM. The fan we picked was rated at 110 CFM and, more importantly for our office, it was quiet enough that people would actually leave it on.

Then the Nest thermostat tried to steal the project

While the heaters were on order, the thermostat in our main office area finally gave up. Our maintenance lead looked at the dead display and said, Can I just put in a Nest? I said yes, assuming it would be a quick Saturday job.

If you've ever searched how to install Nest thermostat, you know it starts simple: turn off the breaker, remove the old faceplate, label the wires. The surprise wasn't the wiring. It was the missing C-wire. Our 1986 office building didn't have one, and without it the Nest would power-cycle every time the compressor kicked in. We needed a $25 power adapter, one support phone call, and about three extra hours.

It worked, eventually. But that little subplot stayed with me. The Nest's sticker price was $249. The real cost was $249 plus $25 plus a lost Saturday. The supplier's quote had shown me the same pattern in bigger numbers.

The car air filter reminded me of the same lesson

Around the same time, I needed a cabin air filter for one of our service vans. The dealer quoted $65 for the part and labor. The parts store had the same filter for $18.95. I bought the $18.95 filter, watched a four-minute video, and swapped it in the parking lot. It wasn't a huge amount of money. But it was a perfect reminder: the price of the thing and the cost of making it work are two different numbers.

That's the trap with any purchase. The online quote looked cheaper because it quoted the thing, not the installation, the brackets, the adapters, and the support calls. The local quote looked more expensive because it listed all of those.

What I'd do differently—or, honestly, maybe not

In the end, the heating project came in at $4,385, about $400 under the budget I'd set after the inspection. Our utility bill for Q1 was 11% lower than Q1 last year—partly because the old heaters weren't running all night, and partly because we programmed the Dimplex units to match our building schedule.

I have mixed feelings about that partly. Some of the savings came from mild weather, and I don't want to claim more credit than the data supports.

Part of me wants to standardize every purchase with one supplier, just to avoid the friction of multiple quotes, accounts, and warranties. Another part knows the backup quote saved us in December, when a snowstorm delayed our primary vendor's delivery. We used the backup to keep the project moving. I'll keep the spreadsheet.

The lesson I keep relearning

This wasn't about the Dimplex products being magical. It was about the quote that tells you the whole story. The vendor who lists all fees upfront—even when the total looks higher—usually costs less in the end. That's true for a wall heater, a bathroom fan heater, an exhaust fan, a car air filter, or a Nest thermostat install.

I'm not saying every cheap quote is a trap. I'm saying that after six years of budgeting, I trust the supplier who answers what's the catch? with nothing and then proves it in writing.
